Records and Insurance Presentation

Chapter 11 of Kinn’s Medical Assistant book "Backup Systems for the Electronic Health Record" provides the importance of health records and why they should be consistently backed up. The most important backup required by the EHR is power since the systems cannot work without power, which requires the health organization to have a power backup system. The chapter also provides data backup and recovery strategies, including daily off-site software backup of the EHR, server backup, external hard drive, and an online backup instrument. The chapter also provides mechanisms that should be employed in processes such as data transfer, obliteration, and retention of the EHR. Health records privacy should be maintained, especially when it comes to the situation that they are required to be released (Proctor et al., 2017). The chapter provides that healthcare providers should be extremely careful when releasing medical information. The established procedure and processes should be adhered to during the medical release such as the patient signing a release form that stipulates the type of information and the information being released.

Health record management is also provided in the chapter, whereby healthcare facilities are required to ensure an efficient health care management system is in place. The health records management system should include file organization into source-oriented medical records and problem-oriented medical records. Accurate documentation in record management should involve the use of drop-down menus, radio buttons, as well as free-text boxes. Record management also includes procedures of making rectifications, update and alteration to health records. Healthcare records also require a filling system to be placed. The types of filling that can be employed by a healthcare facility include drawer files, horizontal shelf files, automated files, compactable files, card files, and rotary circular files.

Important Concepts

Important concepts in Chapter 11 of Kinn’s Medical Assistant include the process that can be utilized by healthcare facilities to backup systems for electronic health records. The chapter also presents the concept of electronic health records transfer and destruction based on the three classifications of files that include active files, inactive files, and closed files. The concept of retention and destruction of files is also provided whereby the patient records are preserved for at least 10 years, and the patient should be allowed to retain a copy of the record before being discarded (Proctor, at all 2017). Improving health care services is a concept provided in the chapter, which involves electronic health information exchange (HIE) among healthcare facilities. The three forms of HIE used to improve the quality of healthcare delivery include query-based exchange, direct exchange, as well as consumer-mediated exchange. Another major concept in the chapter is filling methods used in healthcare facilities, which include alphabetic by name filling, numeric filing, and subject filling.

Vocabulary

Mary prefers to use the alphanumeric filing system since it easy to identify a file using combinations of letters and numbers.

However, Veronica prefers to use an alphabetic filing system since she considers its letter-file identification technique to be much easier.

To improve patient confidentiality, Julia uses the indirect filling system, which requires an alphabetic cross-reference to find a file and also saves time in retrieving and filling records quickly.

Dr. Lawson has a busy schedule that may result in forgetting to conduct other responsibilities scheduled; therefore, he uses the tickler file to help him remember certain actions that are being conducted on certain data. The tickler file a chronological arrangement that consists of notations on the daily calendar helping in reminding a person on which action has to be done or followed upon a particular date.

Angela wants to microfilm the current software library which also has application for creating brochures as well as designing websites.

The demographic information that should be filed in patient records should include the clients’ insurance information, physical address, email address, and emergency contact.

Incident disclosure is a secondary use of health data that cannot be realistically barred.

Purging is the process of moving a file from active to inactive status. The EHR systems use purging techniques to automatically move the inactive records to another server so that processing time of other records is not slowed down due to congestion in the system.

Interview Research Project (LRC project)

For your gender, (Male) describe professional interview attire. Please be sure to include information about shoes, hair, and accessories.

When attending a professional interview, the most important male attire includes wearing a suit and tie. The suit should be of subtle and solid color. The most recommended suit colors are black, navy blue, or gray suit. Beneath the suit, it is recommended to wear a long-sleeved, button-down shirt that coordinates with the tie and the suit. The shoes should be either black or brown. When wearing black shoes, the color of the suit should either be black, gray, or blue, while when wearing brown shoes, the suit color should either be brown or blue (Smith, 2014). The tie should always match the suit and the shirt. For instance, a non-patterned, single-colored tie will complement the whole ensemble if one is wearing a plain white shirt. The socks should also complement the whole ensemble due to the likeness of the interviewer to notice. One should also make sure that the hair and nails are well-maintained, look clean, and trimmed neatly.

How should the interviewee prepare for the interview, and what should the interviewee bring to the interview?

Several practical tips exist concerning the interviewee's preparation for the interview. The first step in the interview preparation is picking the outfit and ensuring it is cleaned and pressed in time. The necessary accessories and shoes are also selected and set aside a day before the interview. The interviewee should practice greeting the interviewer with a friendly smile and firm handshake, which plays a significant role in the chances of the interview going well. Another preparation step is for the interviewee to study the resume and research possible questions that the interviewer might ask them based on their resume (Undercover Recruiter, 2019). Another important interview preparation step is practicing answers to the most common interview questions associated with the job by researching the job position and the company. The interviewee should also find out the type of interview they will be going to. The interview could either be one on one, group, or behavioral. The last step of preparation is to know the directions to the interview and keeping time. The interviewee should ensure they bring copies of their resume, pen and paper, pre-written questions for your interviewers as a support mechanism, a list of references, and a bag, portfolio, or a briefcase that neatly contains all the items.

Describe the professional behaviors the interviewee should portray during the interview.

Professional behaviors involve the interviewee adhering to job interview etiquette. Some of the professional behaviors that an interviewee should portray during an interview include addressing the interviewers by their last name and as Ms and Mr to show respect. The interviewee should make sure the phone is switched off during the interview or in silent mode but not on vibrate to avoid distraction. Maintaining a professional body language is important during the interview (Petras, 2019). The interviewees should ensure they maintain eye conduct and smile. During greetings, the interviewee should ensure the handshake is firm. The interviewee should ensure they avoid interrupting someone’s conversation or trying to take the lead during the interview. It is also professional to maintain a straight-up sitting posture and to lean slightly forward to portray the attention and interest in the interviewer's conversation.

Describe tips regarding cover letters, resumes, and thank you notes after the interview.

Writing cover letters, resumes, and thank you notes requires specific tips to ensure the message is well communicated. The tips include keeping to one page, ensuring the writing is concise and well organized, ensuring the grammar and spellings are correct, being able to portray an honest reflection of skills one possesses, maintaining consistent punctuation and verb tense, highlighting skills, and including only relevant information.

Describe two (2) new things learned with this research
