An electronic health record (EHR) is a record of patient's information in a digitized form. The EHR carries the patient's history, diagnoses, radiology images, test results, and treatment plans. The record helps healthcare providers to make evidence-based decisions and smoothen their workflow (Office of the National Coordinator, 2019). In a standard setting, an EHR system provided privileges for a superuser to control its administrative functions.

Superuser and Roles

A superuser is an account holder of a system who has special privileges over other users. Superusers are sometimes referred to us, administrators or supervisors. The roles of a superuser include identifying system areas that need improvement, identifying new opportunities, and leading change management within a department. Superusers have to maintain documents and resources for training, and also plan and execute the training. Aspects of knowledge management also fall under the roles of a superuser.

Change Theory

Lewin's Change Theory has three stages of effecting change in an organization, which are unfreezing, changing, and refreezing. In the unfreezing phase, people are prepared to drop old systems by increasing the driving force towards change or decreasing the forces that restrain changes. The change phase incorporates a change in behavior, thoughts and procedures. The last phase, unfreezing, makes the new system part of the organization's culture and a standard way of operation (Petiprin, 2019).

Rationale

In Case Study #2, nurses are already objecting to the new system. They present a restraining force that acts against the change. Therefore, this change process will benefit more from reducing the restraining forces, rather than increasing the driving forces. Persuading the nurses to adopt the new system and showing them the effectiveness of the EHR platform will provide a path towards a reduced force of restrain.

Plan to Educate Staff

Staff education plan will entail a hands-on training period to equip all team members with skills to operate the EHR system. Periodic training will act as refresher courses, and new employees will have to undergo full training when joining the stuff. A continuous improvement platform will be provided for employees, where challenges encountered shall be noted and eliminated to improve the efficiency of the system.

Conclusion

EHR's system provides a platform that improves workflow and increases the quality of care. As a superuser of an EHR system, effecting changes and offering knowledge management services will be essential in rolling out the new system and making it the new culture in the institution.
