There are many knowledge management systems with different features. However, there are particular key features that an ideal knowledge management system should possess. These are necessary because they provide extensive benefits to both the end user and knowledge managers.
Every knowledge management system should have a search tool. The latter is significant because it empowers customers, agents, and employees with instant knowledge as they ask questions in their wording hence reducing the time taken to access answers. The universal knowledge system should understand the context of a user’s questions and provide accurate and relevant results from across a range of knowledge repositories. More so, knowledge management systems should always be manageable and its content allowing users to access information by following a logical taxonomy structure. Capturing user feedback is necessary for a knowledge management system. The integration of such a tool is vital to identify customer experience and acquire essential knowledge to make an organization’s information base relevant.

A content management system is a network of related programs that are incorporated to develop and manage digital content. CMS is implemented to support multiple users that work in a collaborative environment. Open Source CMS shows means that many people are working on the software ensuring that it is solid and the software is easy to use. Additionally, the open source CMS is flexible, and one can see what makes the software tick hence an opportunity to modify it to one’s needs. SharePoint is not a great content management system unless it is modified. However, it has adequate capacity for content management because of its broad extension capabilities (General Rules for Email Etiquette, 2014).
Both Microsoft Project and Primavera cater to organizations of the same size. While Primavera P6 was designed for an enterprise since its start, the Microsoft Project shifted from a desktop application and incorporated enterprise capabilities with project server. By contrast, Microsoft Project does not accommodate multiple users to work on a single project. In Primavera, one specifies features that a particular user is permitted to use. I have had an experience in which an email contained unintentionally inappropriate content. I received an email from my classmate with the subject “Where it is going.” In this case, the intended message was “Where IT is going.”
