My style has been a tendency to “over communicate” details to the sponsor which has caused some friction between you and the project team. In this case, communication issues are arising because of the “over-communication” of the project details to the sponsor. It is imperative and rational to follow a variety of strategies that will ultimately achieve more effective communication to strike a balance on the level of the project detail communicated to the sponsor. On the one hand, it is important to determine the communications requirements of the sponsor to establish the specific information that they need ( Sivasankari , 2010). Furthermore, it is critical to understand the information that is to be communicated, including its expected format, content, as well as detail. Such might include putting into consideration when project reports or e-mail updates are needed. Besides, appropriate methods of communication should be used ( Sivasankari , 2010). For instance, project reports involve a lot of information on the overall project and might not be used to communicate details of specific progress. It is thus, important to tailor the communication method in such a way that it fits with the information contained therein.
Some project detail should remain internal to the project team. There are many stakeholders in the project, and each one of them desires and needs specific information. Thus, supplying stakeholders with information that they do not need would be a waste of time and other resources. Furthermore, some of the information might require the privacy and confidentiality aspects to be maintained. Subsequently, it might be required to be maintained within the project team ( Sivasankari , 2010). For instance, the project’s work authorization system information might be required to be maintained within the system. There are also standards and policies that could be private and unique to the project team and it might be inappropriate to expose them to unauthorized stakeholders.
