The Effective Communication: Tips to Help You Communicate Better

Effective communication is the verbal speech or other methods of disseminating information that passes the required point across. It is important to effectively communicate or give direction to a team for the benefit of the organization. An organizational structure otherwise known as an organizational model ensures that the goals of the organization are fully met (Chinn, 2014) . Several elements including the amount of staff required to complete the goal are constituted in the model.

A functional model is the organizational model that I am most familiar with. A functional model is mostly used in business and it is one of the traditional organizational models. The reason why I am more familiar with this model is because in all my employment history, it has been always based on this kind of organizational model. Based on my personal experience, I find a functional model to be very effective for an organization.

How does your organization currently share knowledge or involve employees in formulating solutions to problems? 

Every organization has its own chain of command. When discussing problems that may arise or coming up with a solution for these problems, first it should be attempted to be resolved within the management of one department. If perhaps it needs further discussion, authorization, or resolution that can only be provided by a higher authority or department, then it should be communicated throughout the chain. As for sharing knowledge, information travels down the chain. Managers and supervisors may have different methods of how they communicate amongst their group or department. Emails, handouts, verbal communication in a meeting or one-on-one setting are different ways to share this communication. 

Techniques that have been most effective 

My experience has indicated that verbal communication from my bosses in meetings has been very effective. During the meeting, employees come together at the same time, listen to the same information being disseminated, and are thus able to seek clarifications or discuss certain outcomes in the same meeting at that point of time. I find this most effective since it allows other people to directly participate in the meeting as well as understand the information being disseminated. Since everyone is at the same place at the same time sharing the same information, it leaves little room for misinterpretation of any information. Furthermore, it quashes any possibilities of excuses from employees who will say they did not get something right. 

Techniques that are ineffective 

In my experience, I have found out that emails and handouts are the least effective means of communication. The reason for this is that there are minimal chances that give assurance that everyone has read them and fully understood what is being communicated. Most often, you will hear people say “I did not see the email, let me check my inbox again”, or sometime you may someone say they misplaced the handout they had left on the table or cleared their mailbox. This in most cases results in drawbacks and causes the goals of many organizations not to be met. Furthermore, it causes confusion on new regulations or standards being implemented. 

How these techniques might be applied or modified in a health care work environment. 

Active listening should be applied in a health care environment because it is very critical, like any form of communication. When verbal communication is applied in the health care environment, it is imperative for all to use active listening as well as keeping one’s stress in check (Robinson, Segal & Smith, 2016) . This may affect the outcome of the goal presented. Nonverbal communication applied in health care should be modified because it is not guaranteed that the information is understood or interpreted correctly. I also feel that allowing the staff to add their input or give their opinion should be implemented as well. One does not have to apply those opinions to their plan of action, but feedback does do well for future references as well as allow a sense of value to the staff.

How technology might also affect this process. 

Technology has helped in the improvement of many things, but also has slowed us down in some ways. Technology could help with effective communication by allowing us to spread information to a broad audience in a matter of seconds. Email has become such a great way to communicate, but not everyone reads their email. Outlook, and other mail servers, has a setup where when an email is read, you get a receipt of the person who opened it; this will allow a method of attendance when spreading a broadcasted message. As for technology slowing communication down, we all have had an experience where the server was down or a website is unavailable due to updating (Buchbinder & Shanks, 2004) . Another way technology could slow down communication would be that everyone would have to have the same software or program. This can pose great financial implications especially for small organizations.

Effective communication is vital regardless the kind of organization involved. From active learning to using technology to communicate effectively, there are different options one could use today. Depending on what works for your department, every goal is to have a great line of communication for the benefit of the organization. Having effective communication leaves very little room for error that could be detrimental to a department or organization.
