Which communication styles to apply when talking to different people as a public information officer

Communication is essential for successful personal and works relationships. Several factors, such as the context, p prejudices, and feelings, impact how people communicate with different audiences. Unique communication styles must be factored when sending verbal, non-verbal, or written messages from one person to another. As a public information officer who intends to create training on the importance of different forms and styles of communication for various audiences, I will handle the caller, male subject, press, and my department uniquely.  

The Caller 

I will verbally communicate with a caller via telephone. I will use verbal and non-verbal information skills to share my training objectives. I will ensure that my tone is clear, friendly, empathetic, and patient (Ncert, 2018). I will greet the customer, introduce myself, and inquire about how I can be of assistance. I will offer the caller general details about my training module and clarify any doubt that the caller will have. I will use the client’s name throughout the conversation and thank the caller for contacting the company when ending the conversation. My communication style will prove to the client that the firm is dedicated and cares about clients.

The Male Subject 

My communication with the male subject will be precise, direct, and on-course. I will dissuade from engaging in off-topic conversations that involve chatting. I will share the advantages of the training module that the company intends to explore and how the plan will benefit stakeholders (Ncert, 2018). I will ensure that I promise only what the organization can deliver. My tone will be clear, confident, and friendly. I will not fidget, sway, or stare at the ground. I will answer questions precisely and allow the male subject time to reflect on my proposition. I will request for feedback from the receiver while avoiding sharing my personal opinions. I will provide the impression that the company is clear on achieving its goals and objectives. 

The Press 

My conversation with the press will be precise and accurate without generalizations. I will focus on the facts of the training instead of the personal opinions that press members may have. I will be organized and in time for the press conference (Ncert, 2018). I will provide logical reasons for the company’s decision to undertake the training. I will briefly share the benefits of coaching to the organization’s customers, employees, and the public. My tone will be firm, friendly, and confident. I will maintain a straight posture and have direct eye contact with press members. I will answer any queries briefly and precisely. My communication method will prove to the press that the organization is dedicated through its training intentions. 

My Department 

I will use face to face, verbal communication to communicate with my department. I will request for a meeting where I will share detailed information on the impending training and the objectives that I aim to achieve (Ncert, 2018). I will allow all department members to seek clarity on any queries that may arise. I will allow everyone to share their opinion, besides recognizing everyone for their contribution. I will ask everyone for their advice on the coaching module, and document every feedback received. My tone will be friendly, and my gesture will be relaxed. My communication style will prove to my departmental members that the organization cares for them and is willing to enhance their career growth.  

Conclusion 

Communication is essential because it shapes human relationships. As a public information officer, I will communicate with the caller, press, my department, and a male subject in different ways. Hence, one should employ unique information styles when communicating with diverse audiences.
