Evan Edward Worthing High School Athletic department provides recreational activities for both the students of the school as well as the neighboring community. It creates a sense of community as well as ensuring the fitness and health of the participants ( Bray, 2016) . In previous years, the department has attempted to raise fund for the program that has had less success. To boost fundraising efforts this year and procure the much needed track equipment, the department needs to raise thirty thousand dollars. To achieve this, ‘Friends of Edward Worthing’ group will be formed to plan on how the money will be raised and the organization of an athletics event. The event will take three days and the finals will be held on the final day.
The department head will continue to organize the annual athletics event except this time it will planned to accommodate for donors and sponsors. Volunteers will come from the town residents who are mostly the beneficiaries of the program. They will also sit on the ten person which will serve as an oversight board. The activities will include sprint races, short marathons, field events such as javelin and long jump. The board will be in charge of soliciting corporate and individual donations. Procurement of such donors will be highly personalized through a series of phone calls and emails (Sargeant, & Shang, 2010). The use peer to peer fundraising model sits well with the plan since it is easier to reach out through social networks. The ‘Friends of Edward Worthing’ group will be actively involved in educating residents on the various ways to reach out.

For the plan management, the participating parties will convene weekly to report on the progress throughout the planning phase. The volunteers and donors from the community will be contacted once monthly to update on their social networks reach out progress (Klein, 2011). More than two thousand tickets will be printed and sold at fifty dollars each. This will enable the planners to have some resources to procure equipment for the actual day. Refreshments such as soda will be sold at a higher price margin. The entire event will take place on the school premises and on the final day brunch will be held for the corporate donors in the school gym. The competitions will happen in the summer months.
Finally the organizing team will be in charge of acknowledging and appreciation of the donors and participants of the fundraiser. This will involve sending letters expressing gratitude for the donations they made during the event. This will be key in creating a good relationship with them in case of future fundraising events. By appreciating their efforts, they will be inclined to stay in touch and support future endeavors (Allison, & Kaye, 2011). The letters will be hand delivered to create a personal interaction by the representatives. It would also help attract other donors who might be recruited by their committed counterparts.
In conclusion, through the establishment of ‘Friends of Edward Worthing’ the funds raised will be used to construct a water puddle on the track for steeplechase competitions. In addition, practices and interactions of students on the community in athletics will be added from weekend to four times a week with additional coaches. The group will also target to raise additional five thousand dollars by the end of the year for renovation of the sitting stands to accommodate more people. This will exponentially lead to more ticket sales and hiring of the track to other organizers. This is expected to accommodate two thousand more fans on top of the current capacity.
