Several communication genres exist within the realm of communication. According to Burrow (2010), communication genres can be identified as mediums of communication that are used within a community for a specific purpose. These mediums have evolved over time while others have emerged as modifications of existing genres. 

How Communication Relates to Specific Communication Genres 

Different types of communication genres are used to convey different messages. A business card is a type of written communication medium whereby the owner may use to share contact information. Ward (2012) explains that business cards are the easiest and fastest way to share contact information with other organizations as well as with prospective clients as they easily remind people of the existence of a certain business. For instance, Mr. Emmet is the owner of a small restaurant that has just opened in town. He gives his business card to all his customers to contact him in case they require any service such as food deliveries. Business cards are effective in sharing contact as the information is aligned in a way that is easy for the customer to interpret. The card often includes the name and title of the person to contact, their phone number as well as the email address of the contact person. Additionally, the card also contains the location of the business.

Public announcements or speeches are verbal mediums of communication that can be used over a variety of genres. Speeches, as part of public speaking ensure can be identified as mediums where the speaker uses to communicate with their audience (Baccarani & Bonfanti, 2015). However, some instances can relatively cause communication anxiety among the public. For instance, a public announcement may be essential when the employer wants to communicate the financial standing of the organization to the stakeholders. This type of communication medium therefore requires places that have pleasant settings as well as in an environment where communication can be two-way. 

In any settings, especially in an organization, it is essential to have rules and regulations. Furthermore, communicating these rules is a vital element if an organization seeks to establish a workplace environment that is efficient as well as secure. For instance, the presence of an efficient and well communicated rules and regulation is needed to determine how the employees work with each other as well as with the clients to obtain the desired organizational balance. The rules and regulations thus act as the legislature of the organization. 

Ways Genres Help Readers Grasp Information Quickly and Effectively 

Life may become dull and boring without the competency to effectively communicate with others. An individual can obtain information in three ways since human beings have the ability to communicate in diverse ways and often without their knowledge. The three main communication methods include written, verbal and through body language, also known as nonverbal communication. These three forms of communication may be easy or difficult depending on factors such as preference and accessibility of the form. Written communication can be simple using a business card since it is short, simple and contains all the necessary information. Furthermore, the creator of a business card may also chose to incorporate a catchy type of art into their business card to attract the prospective client. The small nature of business cards also make them easily available since the individual can put the card in a wallet and use it when in need. 

Verbal communication, on the other hand might not be as easy as the written communication. A public announcement or speech needs to attract as many people in the audience as possible. To attract a large audience, the speaker will need to put in as much advertisements or reminders as possible. Moreover, the speaker will also need to practice on their speech and deliver a speech that contains strong arguments that are presented in a creative and exiting manner. Failure to observe this may lead to part of the audience falling asleep or not paying attention to the speaker. 

Nonverbal communication involves the ability to communicate through body language as well as other features such as attitudes, behaviors and reactions. Rules and regulations provide explicit instructions that are to be incorporated during different scenarios. To facilitate easy identification of information, it would be wise to put specific indexes that will be able to help with identifying the required information. In addition, using indexes will help the user to easily and quickly identify the necessary information. 

Similarities or Differences among Genres 

The business card can be identified as one of the most effective business tool since it is cheap and facilitates long-term advertisement. Business cards are also re-useable nonverbal communication which can also be translated to verbal communication when issuing out the card. On the other hand, public announcements or speeches are a one-time event that cannot be re-used in the daily activities of an organization. Speeches are communicated verbally and if they are well presented, can be committed to the memory of the audience. Finally, rules and regulations can be a combination of nonverbal and written communication as they are mostly conveyed in booklets. 

How Listening Fits within Communication 

Listening is an essential part of communication as it facilitates the comprehension of new knowledge that will be applicable in the activities of our daily lives. However, in this new generation, listening has gone unnoticed as people do not consider it as an important aspect of communication. To effectively listen, one has to be supportive to the conveyor of the message. Support is vital as it portrays relational care towards the speaker. In addition, to be an effective listener, one has to be able to put themselves in the speaker’s shoes and ask themselves if they understand what message is being conveyed. This ability helps in developing self-structure which is essential in communicating our comprehension of the message. Therefore, listening is a vital skill that helps in the comprehension, evaluation as well as interpretation of messages before creating a response. Listening has to be carried out first before any type of communication can take place. 

Promote Communication Understanding for the Intended Audience 

Identifying a communication goal can go a long way in promoting understanding among the intended target. A communication goal helps to adjust the simplicity and level of expertise in which one delivers their communication. There are many types of communication channels such as press conferences and media, word of mouth, open houses and special events among others. To effectively communicate in a way that will ensure your intended target understands the message is reliant on the selected communication method or channel. 

External, Internal Relationships and Open Distribution 

Different communication mediums are used for different situations. Business cards can be used for all purposes with both internal and external relationships and distributions. For instance, Mr. Emmet may distribute his business cards to both employees as well as prospective clients for contacting him in case of any situation or if they need his services or to further distribute the cards. Pubic announcements or speeches are for open distribution since the speech involves a public audience despite the organization being present. Finally, rules and regulations are for internal relationships as they are applied within the organization and do not apply outside the organization nor can they be used by other companies. 

Ethical and privacy considerations used for determining an appropriate method of distribution. 

When identifying a distribution method, it is essential to identify the ethical as well as privacy considerations that need to be observed. Ethical and privacy dilemmas can arise when the principle of respecting people’s privacy clashes with the principle of protecting an individual from harm. This dilemma is not present in business cards or public announcements and speeches since they involve the willing participation of individuals. For business cards, the potential client is not forced to take the card nor are they forced to call for services. This is similar in public announcements since the audience attend on their own free will. This dilemma, however, may occur with rules and regulations as it involves instructions on how to behave and react in different situations.
