This paper outlines a budget drafted to implement the replacement of sports equipment in an institution. This budget entails the initial cost of equipment, the replacement of stolen or lost equipment, the replacement of broken and obsolete equipment, and purchase of equipment for expanded programs. In addition, this budget includes supplying equipment to comply with new rules that have been established by different sports organizations. In order achieve efficient replacement sports equipment; this budget estimates the costs per year for maintenance of each piece of equipment (Easterling, 1993). Besides, the budget establishes the date on which the piece of equipment should be replaced as well as evaluating the price of each of new piece of equipment shortlisted for purchase to replace the old one or lost one.

The budget also gives protective equipment the highest priority so that injuries to players are minimized. From our budget, it is clear that some items such as football helmets, football shoulder pads, tennis nets and poles, soccer game goals and around half of the requested track uniforms are urgently required. Football helmets are urgently required to replace the old ones, which have worn out and can longer guarantee the players safety. The football helmets should come along with football shoulder pads. Apart from the protective value, the new kits will motivate the football team to maintain high standard performance as the official regional champions. It was also observed that the number of track uniforms is cut down to fifty because the number of athletes has reduced. New track uniforms can be purchased next season athletes have come back from long holidays. The demand for soccer has also increased in the recent past. Therefore, there is an urgency to equip and renew the old soccer pitch, preferably next season. The rest of the details about the sports equipment can be obtained from the above table. It can be noted that out of $25,000, the sports office has budgeted $18650 for sports equipment while the remaining $6350 is scheduled for administration and logistics.
The sports office has prepared all specifications with detailed requirements and made the criteria available to prospective contractors. Contractors are expected to submit their bids before the scheduled deadline. The bids will be evaluated, compared, and tenders will be awarded to the most responsive bidder. After that, the office shall prepare specific recommendations for approval after which a purchase order shall be issued. The purchase order accomplishes the requirements and details at the most competitive bid price.
