One of the issues evident in Olivia’s draft is an improper presentation. Olivia should have observed the required format of a poster presentation to enhance the conveyance of the message. Her audience was heterogeneous, meaning that the presentation should have addressed the management activities, the purpose of the report, and the expected procedures (Mautner & Rainer, 2017). Another issue is the failure to prepare and sympathize with the parents about the school’s requirements. A business letter should introduce the reasons for the communication, have body paragraphs that describe the details of the message, and a conclusion that reminds the reader about the conditions and offers a positive note of thanks (Chaturvedi & Chaturvedi, 2017). These elements show appreciation to the reader while affirming the sender’s position. She should also have avoided the “you” attitude since it sounded authoritative and accusing ( Bovée & Thill, 2018). In some cultures, it is unacceptable to single out individuals.

Dear Kindergarten Parent or Guardian,
I want to welcome and appreciate every parent or guardian for taking their time to check in on their children in the early days of learning.

However, children are experiencing difficulty in emotional transition when parents are hanging around the kindergarten classroom past the start of the school day. Hence, there is limited physical space that impairs the learning process.
I understand that most parents want to establish a connection with their children, which can make it difficult to separate from them. However, let us not overlook the core features of children’s emotional development, which includes recognizing their emotions and that of others as well as managing to control strong emotions (Troshikhina & Maukyan, 2016). Therefore, I would advise every parent or guardian to let the children walk into the classroom as soon as the bell rings.
For there to be a smooth transition, the school has implemented the following program. Parents will interact with the children from 7:30 a.m. to 8:00 a.m. at the cafeteria. This period will provide parents with an opportunity to interact with and prepare children for the day’s activities (Sani & Treas, 2016). Once the bell rings at 8:00 a.m., kindly let the children join me in the classroom.
