Topic 1 Response

Information technology is an important aspect when it comes to human resources. Various organizations employ different measures from HRIS to improve on their organization performance. In this case, one of the measurements I will use from HRIS to improve my next assignment as per my plan is centralized repository database. With this kind of a database, all information pertaining employees will easily be captured and retrieved when required as opposed to manual paper work. There will be no need to store files manually which again poses a risk of damage or getting misplaced. Integrating this measurement with the proposed e-commerce, all the data for all customers will be readily available and any customer appearing or re-appearing online can easily place repeat orders without having to refill the profile information. The measurement will enable creation of individual profiles for clients so that they can easily create an online account within the database that will enable them to shop in a convenient manner ( Maier et al., 2013)

The database software I plan to employ will be the modern one with visualization capabilities. This will enable automatic rendering of the matrix mode of organizational design that I plan to implement. With this kind of database in place, making of changes on employees’ data will be easy and manageable. Through the visualized organizational charts, the process of approval of various work flows will consume less time and the notification process will be automated. Various organizational grids will as well be created and presented in visual form so that employees can easily study them and understand their roles and responsibilities within the organization. The employee protocol will also be well laid in a visible chart to minimize conflicts of interest and in this manner; the organizational design will be supported ( Maier et al., 2013)

Response to topic 2

The matrix model will be the type of organizational structure that I will recommend for the organization. Flex, being the organization in question, has various entities, activities and product lines running in a simultaneous manner. Matrix organizational structure acts in such a way to allow for various entities and disciplines to engage each other with little effect on other organizations needs. The model also allows for smooth flow of information within the company communication channels and this is one thing that will enhance the performance of the organization. The management and the employees will also be able to communicate swiftly to accomplish their set mandates. On the side of the customers, the model will enhance good communication pattern which enhances satisfaction that ultimately lead to good customer-company relationships that lead to customer loyalty and repeat transactions. Since the employees will be in contact with various people, the process of decision making will as well be hastened ( Weiss, 2007)

I plan to employ the matrix model to enhance resource efficiency something that has been of great concern to the organization. The efficiency comes in where by various functional projects and product lines can share same resources like production and packaging equipment. Efficient use of resources within an organizations means that the organization cuts down on its expenditure or the amount it spends on repeatedly acquiring resources for individual projects and product lines from suppliers. In addition, efficient use of company resources minimizes inputs and maximizes on the output of the organization. This actually will increase the profits realized by the company ( Weiss, 2007) . The model will ensure efficient use of both capital and human resources within the organization.
