Communication Concepts: The Building Blocks of Effective Communication

Effective communication is one of the most important element in the day to day operations of an organization. Communication plays a vital role within an organization as it aids in the effective delivery of roles and responsibilities, smooth decision-making process, helps in effectively dealing with conflicts among other responsibilities. Despite the great role of communication it is important to indicate that it is sometimes difficult to achieve effective communication in an organization. Therefore, it is important for the organization to develop appropriate strategies and concept that enhance effective and successful communication within the organization. This paper will focus on five concepts that are important in bringing about successful communication in an organization. 

Active Listening 

Firstly is the effective listening concept. Effective listening is active as opposed to being passive, in this case, the individual takes active listening to the speaker. Effective listening is different from hearing as hearing is passive. Effective communication can be achieved through asking questions that are related to the topic being discussed, taking turns in talking, maintaining eye contact and repeating what the speaker says ( Barnett et al., 2011) . The active listening will help in effective communication between the listener and the speaker. Additionally, it plays an important role in ensuring that the message delivered is clear and provided with collaboration where necessary.

Organizational Culture 

Secondly is organizational culture. An organizational culture shapes the people's ways of life within the organization which includes the language and mode of communication ( Fielding &Fielding, 2015) . Organizational culture dictates the code of conduct for different people within the organization and also the hierarchy and nature of communication. The organizational culture plays an important role in developing the organization's values system, mission, vision, shorter and long term goals as well as establishing a common language. The common language aids in ensuring the diversity of different people within the organization are harmonized by a common language that is well understood by all the stakeholders ( Fielding &Fielding, 2015) . It is also important to indicate that an organizational culture plays an important role in defining how people interact, communicate, sharing of information as well as how decisions are made within the organization. Therefore, developing and implementing an acceptable culture is an important strategy in enhancing effective communication within an organization ( Fielding &Fielding, 2015)

Conflict Resolution 

Thirdly is conflict resolution which involves the strategies that have been put in place to solve conflicts within an organization effectively. Conflicts within an organization are inevitable due to the diversity of the people working in the organization ( Chaturvedi & Chaturvedi, 2011) . It is, therefore, necessary to develop effective conflict solving techniques as conflicts significantly affects how individuals interact as well as the process of making decisions in the organization. Effective conflict solving techniques can be used to bring about positive effects of conflict which in turn reinforce effective communication. For example, conflicting ideas bring about effective sharing of ideas which are further used to arrive at an informed decision. Conflict resolution can be implemented by allowing an individual to express themselves within the acceptable codes of conducts as well as through a culture that embraces diversity in ideas but at the same time outlines an effective approach to solving conflicts ( Chaturvedi & Chaturvedi, 2011)

Leadership Strategy 

Fourthly is leadership strategies, the nature of leadership significantly shapes the communication within an organization. Leaders play a vital role in ensuring that the company operations run smoothly. Leadership strategies can be used to enhance effective communication at all levels of the employees ( Barnett et al., 2011) . Additionally, leadership strategies apply leadership techniques in enhancing communication such as providing an opportunity for individuals to express themselves through discussions. Finally, leadership strategies outline the communication language, means of interaction and who to interact with which in turn reinforces communication ( Barnett et al., 2011)

Formal and Informal 

Formal and informal communication is another important aspect that can be utilized to enhance effective communication in an organization. When focusing on formal communication, it is important to indicate that the communication follows the hierarchy within the organization ( Fielding &Fielding, 2015) . In this case, downwards communication is that which runs from the topmost officials to their subordinate downwards, while as upward communication is from the employees to their managers. Additionally, horizontal communication refers to the communication between individuals in the same working level ( Fielding &Fielding, 2015) . On the other hand, informal communication does not follow any form, and it can be used by different individuals in the organization. 

Conclusion 

Communication is an important element in an organization as it aids in the day to day operations of the organization. Therefore, achieving a successful communication approach in the organization will, in turn, significantly aid in reinforcing the daily operations of the organization. Numerous approaches can be used to enhance communication within an organization and culture, leadership strategies, conflict resolution, formal and informal communication, and listening concepts are the most effective approaches of reinforcing communication in an organization.
