One risk attached to the HRIS implementation process pertains to data security. The HRIS database is developed to store sensitive data, particularly those that include employee names, birth dates, home address, social security number, and job-related data (Rietsema, 2013). Due to the value of this data to third-parties, the HRIS database is susceptible to data breaches.

The Social Workplace (2013) highlights that the very nature of HRIS means that the role of protecting data is left to a third party, that is, the cloud service provider. The relinquishment of this information can increase the exposure to liability for the firm. Whereas data protection laws differ between states, the general inference is that a company is supposed to protect its employees’ information (Bedell, Canniff, & Wyrick, 2009). Since cyber threats keep evolving, it is important security measures need to keep on changing to stay in touch. A security breach can threaten the very existence of the HRIS and can make investors to loose confidence in a company. The loss of clients is bound to spread to clients and hence affect a firm’s ability to raise revenue. It is therefore a plan draws out comprehensive security measures in collaboration with the cloud service provider.

Contingency plans for security should be drawn out during the planning phase of the HRIS project. During the planning stage, the stakeholders should be keen on selecting a HRIS vendor that meets the security requirements of a globally acknowledged framework (The Social Workplace, 2013). Such a standard will ensure the cloud service provider adheres to the best practices hence ensuring the highest possible level of security of a company’s private and sensitive information. On that note, the security reinforcement of the HRIS begins at the planning phase of the project. The failure to lay out plans for security during this stage will inevitably leave the system susceptible to cyber-attacks.
